Privacy Policy
Effective October 27, 2026
Draft. This document is a draft that has not yet been reviewed by a lawyer. Bracketed items are still to be filled in.
This Privacy Policy explains what information The Greenroom LLC ("Greenroom", "we", "us") collects when you use thegreenroom.tech and the Greenroom practice service, how we use it, and the choices you have. Greenroom is designed so that your practice sessions stay on your own device.
1. What stays on your device
The following are stored only in your browser (in local storage and IndexedDB) and are not sent to our servers:
- your video and audio recordings;
- transcripts, session results, scores and action items;
- your profile (name, email and target role you enter in Profile and Settings) and preferences such as the AI Assistant's name, voice and language; and
- the job descriptions and questions you enter.
Face and posture analysis runs on your device using models downloaded from our site. You can download or delete your sessions at any time from Profile and Settings, and clearing your browser's site data removes everything stored there.
2. Speech recognition in your browser
To produce a transcript, Greenroom uses your browser's built-in speech recognition. Depending on your browser, the browser maker may process your audio on its own servers to turn it into text (Google Chrome, for example, does this). That processing is done by the browser maker under its privacy policy, not by Greenroom, and Greenroom does not receive the audio.
3. What we collect
- Account information. Your email address, a securely hashed version of your password (we never store the password itself), when you created the account and when you last signed in.
- Sign-in cookie. A signed, HttpOnly cookie that keeps you signed in for 24 hours. It is needed for the Service to work.
- Usage events. A random visitor ID stored in your browser, and the events tied to it: arriving on the site, the pages you view, signing in or out, and starting or completing an interview or presentation. Once you sign in, these events carry your email address, and earlier events from the same browser are linked to it.
- Ratings and comments. The star rating and any comment you choose to leave after a session.
- Payments. When paid plans are on: a Stripe customer ID linked to your account, a record of credit purchases, refunds and sessions used (amount, currency, date and links to receipts or invoices), and the brand, last four digits and expiry of any saved cards, which we fetch from Stripe to show you. Full card numbers go directly to Stripe and never reach our servers.
- AI feature text. When you turn on the optional AI features: the text described in section 4, which passes through our server on its way to the AI provider. We do not keep it after the request completes.
- Network information. Your IP address is used briefly to limit repeated sign-in attempts. Our hosting provider may keep standard server logs.
We do not collect your video, audio or the content of your answers, except the answer text sent to the optional AI features when you turn them on.
4. Who we share it with
We do not sell or rent your personal information, and we do not share it for targeted advertising. We share it only with service providers who help us run Greenroom:
- Hosting: Railway, which runs our servers and stores the account, usage and payment records above.
- Payments: Stripe, which processes payments and stores saved cards. See Stripe's privacy policy.
- AI features (optional): Anthropic, which receives your target role, the job description, the questions and the text of your recent answers when you turn on the AI features. See Anthropic's privacy policy.
We may also disclose information if the law requires it, to protect the rights and safety of Greenroom, its users or others, or as part of a merger, acquisition or sale of assets.
5. How we use it
We use the information above to create and secure your account, provide the Service, process payments and keep your credit balance, understand how people use Greenroom so we can improve it, respond to you, and meet legal obligations.
6. How long we keep it
We keep account, usage, rating and payment records for 2 years after your last sign-in, then delete them. If you ask us to delete your account sooner, we delete your account information and remove your email from usage records, except where we must keep payment records for tax, accounting or legal reasons.
7. Your choices and rights
- Delete your practice sessions and recordings any time from Profile and Settings, or by clearing your browser's site data.
- Leave the optional AI features off. They are off by default.
- Remove saved cards from Profile and Settings.
- Ask us for a copy of the information we hold about you, or ask us to correct or delete it, by emailing [email protected].
Depending on where you live (for example California, or the European Economic Area and the UK), you may have further rights, such as to object to or restrict processing, to data portability, or to complain to your local data protection authority. We will not treat you differently for using these rights. [CONFIRM APPLICABLE PRIVACY LAWS AND LEGAL BASES]
8. Cookies and similar storage
We use one cookie, for sign-in. We also use your browser's local storage and IndexedDB to keep your practice sessions, settings and visitor ID on your device. We do not use advertising or third-party tracking cookies. When you use the payment form, Stripe may set its own cookies to prevent fraud.
9. Security
Passwords are stored as salted scrypt hashes, sign-in cookies are signed and HttpOnly, and connections to Greenroom are encrypted. No system is perfectly secure, so please use a strong, unique password.
10. Children
Greenroom is not intended for children under 13, and accounts are for people 18 and older. We do not knowingly collect personal information from children. If you believe a child has given us information, contact us and we will delete it.
11. International users
Greenroom is operated from the United States, and the information we collect is stored and processed there.
12. Changes
We may update this Privacy Policy. We will change the effective date above and, for significant changes, tell signed-in users in the app or by email.
